1. Who is responsible for your data
VOLTORS Technology Consulting Services, Inc. is the data controller for personal data collected through voltors.io and our sales/booking process. For data processed on behalf of a client organisation within a hosted SaaS platform, VOLTORS acts as data processor under the terms of that client's Data Processing Agreement (DPA), and the client organisation is the controller.
2. Personal data we collect
Depending on how you interact with us, we collect:
- —Contact details you submit through the contact or booking forms: name, business email, company, company size, country, and message content
- —Technical data collected automatically: IP address, browser type, device type, and pages visited, used only in aggregate for site analytics and security monitoring
- —Communication records: emails, call notes, and meeting summaries generated during a sales or delivery engagement
- —For client platform users: account credentials, role, and in-platform activity logs necessary to deliver the contracted service
3. Why we process your data
We use personal data to: respond to enquiries and schedule briefings; prepare proposals and deliver contracted consulting or SaaS services; maintain the security and availability of our website and platforms; comply with legal, tax, and accounting obligations; and, where you have opted in, send relevant updates about our services.
4. Legal basis for processing
Where GDPR or an equivalent framework applies, we rely on: contractual necessity (to deliver a service you or your employer requested); legitimate interest (site security, service improvement, and B2B relationship management); consent (for optional marketing communications, withdrawable at any time); and legal obligation (tax, accounting, and regulatory recordkeeping).
5. Third parties we share data with
We share personal data only as needed with: cloud infrastructure providers that host our platforms (e.g., AWS, Azure, GCP); a PCI-DSS compliant payment processor for invoicing (e.g., Stripe); monitoring and observability tooling used to keep platforms secure (e.g., Datadog, Grafana); and professional advisors (auditors, legal counsel) bound by confidentiality obligations.
We do not sell personal data. Any sub-processor engaged to support a client's hosted platform is listed in that client's Data Processing Agreement.
6. How long we keep your data
Contact-form and sales-pipeline data is retained for the duration of the relationship plus five (5) years for tax and dispute-limitation purposes, unless you request earlier deletion and no legal ground requires retention. Platform activity logs are retained per the retention schedule set out in the applicable client DPA, typically no more than twenty-four (24) months.
7. Your rights (GDPR and equivalent frameworks)
Where applicable law grants you these rights, you may:

- —Request correction (rectification) of inaccurate data
- —Request erasure of your data, subject to legal retention obligations
- —Object to or request restriction of certain processing based on legitimate interest
- —Request a portable copy of data you provided directly to us
- —Withdraw consent at any time for processing based on consent
- —Lodge a complaint with your local data protection authority

8. Security measures
VOLTORS maintains an information security program aligned with ISO 27001 and SOC 2 Type II control frameworks, including encryption in transit and at rest, role-based access control, and continuous monitoring across hosted platforms. No system is completely secure, and we encourage reporting any suspected vulnerability to security@voltors.io.
